Administrative Coordinator

 

  • Office Systems

    • Complete and file all state and county paperwork for the Sierra Friends Center site (Assessor’s forms, Environmental Health forms, public water system forms, etc.) under the direction of the Executive Director.

    • Basic filing

    • Maintain the SFC Calendar of events and usage

  • Campus Technology

    • Assist with the management of the site onSip phone system.

    • Maintain woolman.org email accounts for all current staff, interns, and students.

    • Maintain all internal email listservs.

    • Support the Marketing Manager with the creation of media materials.

  • Facility Rentals

    • Act as liaison between staff, volunteers and guests so that our site and facilities are well maintained and welcoming.

    • Schedule rentals in consideration of other campus events and activities with the E.D.

    • Communicate with relevant staff regarding upcoming rental needs

    • Communicate with group organizers/leaders prior to arrival.

    • Provide a warm welcome and orient outside groups to campus.

    • Serve occasionally as the staff on-call for groups present on campus.

    • Take a supportive role in the logistics planning and registration process for Sierra Friends Center sponsored events.

    • Assist with Sierra Friends Center sponsored events in coordination with outreach staff.

  • Development

    • Prepare lists for, format, and send fundraising email and print appeals.

    • Work with Bookkeeper to ensure that all donations are logged correctly.

    • Manage the Gift Registry

    • Generate donation thank you letters and emails in a timely fashion.

    • Prepare reports for E.D.  as needed.

    • Assist in creating mailing lists for Capital Campaign and Annual Fund mailings and outreach, including phonathons.  

    • Prepare materials for  Capital Campaign and Annual Fund mailings

    • Manage the printing and mailing for the Capital Campaign and Annual Fund mailings

    • Manage the donor acknowledgment programs and mailings

    • Maintain the CiviCRM database.

      • Update contacts

      • Ensure that all information is current to the best of our knowledge

  • Other

    • Work with E.D. to foster a positive environment for staff to function.

    • Maintain and update the organizational safety binder in coordination with Maintenance Staff and E.D.

    • Attend Staff Meetings and other meetings as needed for the position.

    • Assist E.D. as necessary with other duties as assigned.
